Purpose and Scope

Multek Mobile Device Policy, Rev. 9/2022.

Purpose

Mobile Devices, such as smartphones, laptops, tablets, wearables, and other wireless communication devices, are important tools for conducting business. They also create data security risk if appropriate security measures and procedures are not applied.

Multek and its subsidiaries and affiliates may provide eligible Company personnel with Mobile Devices for the primary purpose of conducting Company business. Mobile Devices must be appropriately secured and maintained to prevent sensitive data from being lost, stolen, or compromised.

Scope

This Policy establishes eligibility guidelines, sets forth User responsibilities and Company rights, addresses approved devices and new or upgraded device requests, provides acceptable use guidelines, and addresses other matters related to Mobile Devices.

The Policy applies to all Company personnel, including employees, contractors, consultants, and interns, who are provided with a Mobile Device by the Company or who conduct work-related duties or maintain Company information on a Mobile Device.

Policy

The Company may, at its sole discretion and in accordance with this Policy, provide eligible Company personnel with Mobile Device(s) and/or related telecommunication carrier services, at the Company's expense, for the primary purpose of conducting Company business.

1. Mobile Device Eligibility

Eligibility is based on business need and executive management discretion.

Determinations on eligibility for Company-owned Mobile Devices are made by executive management in its sole discretion. Eligibility is generally based on job requirements and responsibilities, with focus on positions that require readily available access to email, phone, internet, messaging services, digital audio/image/video content recording and exchanging, and other communication or transmission protocols for Company business purposes.

In general, eligible Company personnel will be provided with one Mobile Device at a time. Personnel who are not eligible but believe their duties require a Company Mobile Device should consult with their manager.

2. User Responsibilities

Users must protect Mobile Devices and Company information.

Company-provided Mobile Devices are Company property at all times and are to be used primarily to conduct Company business. Users are responsible for security, safe keeping, and policy-compliant use.

  • Use reasonable care and precautions to protect Mobile Devices from misuse, damage, loss, and theft.
  • Keep all Mobile Devices password or security protected, such as fingerprint or facial recognition.
  • Do not allow anyone other than the assigned User to use the Mobile Device.
  • Maintain Mobile Devices in accordance with Company and IT Department instructions, including software updates and security measures.
  • Immediately notify the manager, HR Department, and IT Department if a Company-issued Mobile Device is lost, stolen, or compromised.
  • Do not use Mobile Devices for illegal activity, harassment, or any purpose prohibited by Company policy, including illegal or pirated software or content.
  • Obey all federal, state, and local laws and regulations, including traffic laws.
  • Do not use a Company-issued Mobile Device while operating a motor vehicle unless using a hands-free device in compliance with law.
  • Safeguard Company data, use the Company email system for Company data, and use caution with outside links, attachments, and messages.
  • Do not tamper with, jailbreak, or install unauthorized software designed to bypass manufacturer or IT Department limitations.

3. Company's Right to Monitor and Protect Company Property

The Company may monitor and manage Mobile Devices containing Company information.

To protect the Company, its property, and sensitive information, the Company has the right to monitor Mobile Devices that contain Company information, including Company-provided devices, devices where the Company pays carrier services, and approved Personal Devices used for Company information.

  • Monitor Company communication and messaging systems, including communications and data on a User's Mobile Device.
  • Modify content on a Mobile Device, including remotely altering, wiping, or resetting the device.
  • Turn cellular, data, and other services on or off.
  • Reclaim possession of a Company-owned Mobile Device at any time and for any reason.
  • Take other lawful measures deemed necessary or advisable by Company management to protect Company property and sensitive information.

4. Management of Company Email and Data

Standards for Company-issued Mobile Devices and approved Personal Devices.

Company Email and Data Access

Access to Company email and/or data on Company-issued Mobile Devices may be granted to personnel at pay grade Level 26, such as Assistant Manager or Senior Engineer, or above, and to personnel with frequent customer interaction as determined by the Company.

Individuals who do not meet those criteria but have a business need may request approval from their Executive Supervisor and the IT Department.

Personal Devices

  • Users approved for Company email on a Personal Device must sign an Acceptance and Policy Acknowledgement.
  • The User must consent to the IT Department installing a management app or software that allows the Company to track and manage Company emails, data, and other Company information in accordance with the Policy.
  • Personal Devices that are incompatible with the Company management app or software are not eligible for Company email access and must not be used for Company business.
  • Upon termination, termination of contract, or separation of employment, the User must remove and delete all Company emails and data from Personal Devices and certify compliance. IT may also remove and delete Company emails and data.
  • Users do not have a right to privacy with respect to information maintained, transmitted, or stored on Company computers, Mobile Devices, and other devices used to conduct Company business.

Additional Guidelines

The Company may provide additional guidelines or requirements regarding management of Company email, information, and data on Mobile Devices and Personal Devices. Users must comply with those guidelines and requirements.

5. Approved Mobile Devices

Device standards, examples, and additional device requests.

Mobile Devices

The Company determines, in its sole discretion, the types and models of Mobile Devices available to eligible Users. The Company may change or update Mobile Devices and carrier/service plans at any time. Eligible Users should contact the IT Department regarding devices and carrier plans currently offered in their location.

Device model and storage examples are current examples as of May 2026. The approved base model, upgrade model, storage size, and available device list may change each year based on current devices, carrier offerings, inventory, region, cost, and IT standards.

Upgrade Examples

Upgrade eligibility and replacement decisions depend on business need, executive approval, availability, carrier service plan options, job requirements, and pay grade level.

Additional Mobile Devices

In general, eligible Company personnel will be provided with one Mobile Device at a time. Requests for additional Company-paid Mobile Devices require business justification and approval from the User's Executive Supervisor.

6-7. Mobile Device Carriers, Costs, and Usage

Carrier decisions, cost coverage, and business use expectations.

6. Carriers and Costs

The Company determines available telecommunication carriers and service plans based on location, coverage, plan offerings, and fees. In general, the Company pays carrier costs for one Mobile Device per eligible User, including the base monthly mobile subscription for voice and data plus approved business-related usage or add-ons.

7. Usage

Mobile Devices are primarily for Company business. Personal use is permitted if the User continues to comply with this Policy and does not exceed a reasonable amount of minutes and data. Users should inform IT in advance if usage may be above normal or if they plan to travel out of country for an extended period.

8-9. Orders, Upgrades, Replacements, and Accessories

How devices, replacements, and accessories are handled.

8. Orders and Upgrades/Replacements

Eligible Users with necessary approvals should contact IT to procure a Mobile Device. Company-provided Mobile Device orders must be processed through IT or as directed by IT. Users are generally eligible for a new or upgraded Mobile Device at the end of the current contract and/or service plan. Upgrade or replacement during the current term requires Executive Supervisor approval and may depend on availability, plan options, job requirements, and pay grade.

9. Accessories

The User is generally responsible for Mobile Device or Personal Device accessories, including chargers, memory cards, covers, additional batteries, and wrist bands. Reimbursement requires prior approval from the Executive Supervisor and must follow Company expense reimbursement policies.

10-11. Compliance and Separation

Consequences for non-compliance and return obligations.

10. Policy Compliance

Failure to comply may result in warning, notification to the User's manager or Executive Supervisor, revocation of privileges, or disciplinary action up to termination of employment. The Company may collect payment or reimbursement for excessive charges not related to Company business or not authorized by the Company.

11. Separation of Employment or Contract

Upon termination, termination of contract, or separation of employment, the User must return all Company-issued Mobile Devices and Company-provided or reimbursed accessories to IT. The Company may remotely remove all data from and reset a Mobile Device. Devices and accessories not returned within ten (10) days may be charged to the User.

12-14. Lost, Damaged, or Malfunctioning Devices

What Users should do when a device is lost, stolen, compromised, broken, damaged, or not working.

12. Lost, Stolen, or Compromised Devices

If a Mobile Device or Personal Device is lost, stolen, or compromised, the User must notify their manager, HR Department, and IT Department immediately and no later than one (1) business day. The Company will take necessary action to remove and delete Company emails and data from the device.

13. Broken or Damaged Mobile Devices

If a Mobile Device is broken or damaged, notify IT as soon as practical. The Company may repair or replace the device with Executive Supervisor approval. If damage is due to negligence or carelessness, the User may be responsible for repair or replacement cost.

14. Technical Issues

If a Mobile Device is not functioning properly, notify IT as soon as practical. IT will assess and assist with corrective actions. Warranty-period manufacturing defects may generally receive a warranty replacement of the same phone; after warranty, IT determines the best solution.

15-16. Approvals, Updates, and Acceptance

The Company may make exceptions and request acknowledgement.

15. Approvals, Exceptions, and Policy Updates

The Company has the right to make exceptions to this Policy and/or approve matters related to Mobile Devices and Personal Devices, whether or not addressed in this Policy. The Company will use reasonable efforts to notify Users of changes, but reserves the right to change, revise, withdraw, or add to the Policy at any time if management deems necessary.

16. Policy Acceptance and Acknowledgement

From time to time and at the Company's request, Users may be asked to sign an Acceptance and Policy Acknowledgement to confirm they have read and understand the terms and conditions of this Policy.

I agree to comply with the policies and procedures set forth in the Multek Mobile Device Policy. This includes protecting mobile device(s) from misuse, damage, loss, and theft; keeping mobile device(s) password or security protected; notifying my manager, HR, and IT if a device is lost or stolen; following Company and IT Department instructions; obeying applicable laws; and not tampering with, jailbreaking, or loading pirated apps, software, or illegal content on mobile device(s).

I acknowledge that Company-issued mobile devices and equipment remain Company property and must be returned in good working order upon termination, termination of contract, or separation of employment. I also acknowledge that the Company may take security and monitoring measures as set forth in the Policy.

If using a Personal Device, I consent to the Company installing a management app or software that allows the Company to track and manage Company emails, data, and other information of the Company and/or its business partners in accordance with the Policy.
